When a client’s statements arrive, XARA takes the month from the first line to the closed books in QuickBooks Online, files the papers in SharePoint and completes the job in Karbon. Nobody at the firm hands it anything, reviews it or approves it.
Every screen on this page is from a month XARA closed in QuickBooks Online for a test company, Quarry Hill Bakery LLC, in October 2026.
The statements arrive.
A client emails the month’s statement, someone saves it in the client’s SharePoint folder, or it comes in on the job in Karbon. It may be the bank’s PDF, a scan, a phone photo or a download. XARA picks it up where it lands, and nobody forwards or uploads anything.

Every line is booked.
Each line goes to the account that client’s lines have always gone to, read from the client’s own books, and the bank feed is cleared. Two identical charges on the same day stay two charges.
Every account is reconciled.
Checking, savings and cards, each against its statement to a $0.00 difference, with the reconciliation report saved for every month.
The month-end work is done.
Accruals, sales tax, depreciation, prepaid expenses and debt payments split into principal and interest, whatever that client’s month needs. When the bakery’s opening balances had been left in Opening Balance Equity, XARA moved the $35,471.50 to the owner’s equity, as a senior bookkeeper would.
The papers are filed.
The month’s Balance Sheet and Profit and Loss, each reconciliation report and the statements go into the client’s close folder in SharePoint, each checked against the books before it is saved.

The Karbon job is done.
The month’s job is completed in Karbon with a short note of what was done, so anyone who opens it can see where the client stands.

When something isn’t known.
Most of what a bookkeeper doesn’t know is written down somewhere: an email, a contract in SharePoint, a note on the Karbon job, last year’s books. XARA looks in all of them first, the way your best bookkeeper would.
When a line still can’t be placed, it goes to the client’s holding account so the books still reconcile, and XARA moves it when the evidence turns up. If the amount matters, the month’s statements are not called final until it is placed. In September, three of the bakery’s lines were held like this, the papers were filed as provisional, and the Karbon job stayed open with a note saying why.

Many clients at once, through the night.
XARA works on computers of its own inside your firm’s Azure. Each one takes a client and closes its month while the others take theirs, so your clients close side by side through the night instead of one after another.
Where it runs.
Inside your firm’s own Microsoft Azure, from the statement to the finished job.
Security at Proxara- Your firm’s Azure
- XARA is installed into your firm’s own Microsoft Azure subscription with one command. Its computers, the statements, the papers and its record of every change it makes stay there.
- The model
- GPT-6.1 Sol, deployed through Microsoft Foundry in your firm’s Azure. Microsoft does not use what it reads for training.
- QuickBooks
- XARA has its own user in your QuickBooks Online Accountant, signed in through your firm’s Microsoft account, and reaches each client’s books from there, as your bookkeepers do.
- Outlook, SharePoint and Karbon
- It reads only the mailboxes and the SharePoint site you choose, to know when a statement arrives and to find what it needs. It writes the papers to the client’s folder and the note to the Karbon job.
- Nobody is contacted
- XARA never emails or messages a client or anyone at your firm.
- What Proxara sees
- The install’s health and counts, and never a client. Updates arrive by themselves.
- Putting it right
- Every change XARA makes is recorded, so it can reverse its own work when it learns a line belonged somewhere else.
How it starts at a firm.
It can start small: with what you connect, in the hours you choose, taking on more as you give it more.
How setup worksWith whatever access you give it
Connect only some of it on the first day and XARA finishes what it can with that. Nobody at the firm has anything new to do.
Nights, if you prefer
A leader can keep XARA to nights at first. People come in to work already done, and the load lightens before anyone changes how they work.
Then the whole close
Over time XARA takes on every client’s month. Anyone curious can watch its computers at work in the firm’s console, and nobody has to.
How it is measured
Statement to closed month
How long a client’s month takes to close once its statements arrive.
Cost per client month
What each completed client month costs your firm, XARA included.
Months closed end to end
The share of client months XARA closes from the first line to the finished job.
What partners ask first.
Does anyone at the firm have to check its work?
No. XARA checks its own work as it goes: every account against its statement, every paper against the books. What it did is in QuickBooks, SharePoint and Karbon, where anyone can open it as they would a colleague’s.
What if a statement belongs to a different client?
It is read for whose it is. In testing, a florist’s statement saved in the bakery’s folder was recognised as the florist’s, nothing was entered in the bakery’s books, and a note went on the florist’s Karbon job.
What if the same statement arrives twice?
Each line is checked against what is already booked. When the bakery’s owner emailed a scan of a September already closed, all 59 lines were found in the books once, nothing was entered again, and the scan was filed with September’s papers.
Which books does it work in?
QuickBooks Online, through your firm’s QuickBooks Online Accountant. Statements can come from any bank, in any form.
Will it ever contact our clients?
Never. When something can only be learned from a client, XARA waits for it to turn up in the firm’s own systems, the way it did for the bakery’s three September lines.
See it on your firm’s work.
We set it up with your firm and start where you are comfortable: XARA working nights on a few clients’ months, the connector reading only. Then we go through what it did with your partners.
- Your IT lead gets the Security Overview and the sub-processor list before anything is connected
- Nothing in your systems changes while you decide
