Trying Proxara
How a firm tries Proxara on its own clients, and how to judge the result.
This guide is for the partner deciding whether Proxara is right for the firm.
A trial is real work on your own clients, after an afternoon of setup by your administrators. XARA closes a few clients’ months, overnight if you prefer, and the connector reads only to begin with, until the firm allows approved changes. It continues month to month until your firm decides to stop.
Before you start
| Step | Guide |
|---|---|
| Set Proxara up | Set up |
| Show the team what to ask the connector | Using the connector |
| Share the security material with whoever reviews it | Security |
Who takes part
A few clients whose books XARA closes, and a few people who work on returns every day, with one partner who reviews the result.
Judging XARA
Look at the months themselves. For each client in the trial:
| Question | Where to look |
|---|---|
| Was the month closed end to end? | The Karbon job, marked done, and the papers in the client’s close folder |
| How long from the statement arriving to the month closed? | The statement’s arrival in Outlook or SharePoint, and the Karbon job’s completion |
| Does it match what your own bookkeeper would have done? | The reconciliation reports and the ledger in QuickBooks |
| What did it hold, and why? | The client’s holding account and the note on the Karbon job |
Judging the connector
Before you start, each person writes down how long these take today. Later, they time the same tasks with the connector.
| Task | Today | With the connector |
|---|---|---|
| Find where a return stands | ||
| List what is still missing from a client | ||
| Chase a missing document | ||
| File the documents from a client’s email | ||
| Update Karbon after a review |
How to judge it
Start with the times your team wrote down. The console’s Activity page then shows who asked about which clients and what was approved, and whether people kept using it. It exports to a spreadsheet.
