Set up in an afternoon.
Three people each do one short task, in any order. XARA starts on the months whose statements are already in, the connector reads in your firm’s history, and your staff can start asking before it finishes.

Your Microsoft administrator
Approves Proxara once in Microsoft, picks the client mailboxes and SharePoint sites, and runs the one command that installs XARA in your firm’s Azure, with its own work account like any new colleague’s.

QuickBooks and Karbon administrators
Invite XARA’s account to your firm’s QuickBooks Online Accountant, as you would a new bookkeeper, and copy two values from Karbon’s Connected Apps page into the console.

Whoever runs your firm’s AI
Adds Proxara to your firm’s Claude, ChatGPT, Gemini or Microsoft 365 Copilot, once for everyone. From then on, the first time a person asks about a client, they choose Connect and sign in with their work account. There is nothing to install.

The first months are closing.
Microsoft 365 and Karbon are connected. XARA is working through the months whose statements are already in, in the hours your firm chose, and the connector is reading in your firm’s history. The reports fill in as it goes.

What is read, and what is not.
Your administrators set the scope, and can change each of these later in the console.
- Where XARA runs
- In your firm’s own Azure subscription, on cloud computers it installs there. Client data stays in your firm’s Azure; Proxara sees only whether it is healthy and how many months it has closed.
- QuickBooks
- XARA signs in to QuickBooks Online Accountant with its own account, as a member of your team, and reaches the clients your firm gives it. It works through QuickBooks’ own screens, as your staff do.
- XARA’s hours
- Around the clock, closing a client’s month as soon as its statements are in, or only overnight while your firm starts. The hours are the one setting, and the firm’s leader sets them.
- Client mailboxes
- Only the mailboxes in the group your Exchange administrator scopes. Personal mail outside it is not read.
- SharePoint
- Only the sites your administrator lists. Proxara gets read access to those sites and nothing else.
- Karbon
- Clients, work, notes and files, with the key your administrator enters. Anyone restricted in Karbon sees only their assigned clients.
- CCH Axcess
- Optional. Return figures and comparisons across years come from here. Each person signs in to CCH the first time it is needed, so CCH’s own access groups apply.
- Read only, or approvals
- A firm can begin reading only. Allowing approved changes is one switch, and it can be turned back.
- Which details are replaced
- Keep more as it is, such as vendor names on a ledger, or replace more, such as bank names. SSNs, ITINs, EINs, account numbers, and people’s names, addresses, emails, phone numbers and dates of birth are always replaced.
- Follow-ups
- Client reminders, chases for quiet jobs and a Karbon job for each new notice are separate switches. Each starts off.
See it on your firm’s work.
We set it up with your firm and start where you are comfortable: XARA working nights on a few clients’ months, the connector reading only. Then we go through what it did with your partners.
- Your IT lead gets the Security Overview and the sub-processor list before anything is connected
- Nothing in your systems changes while you decide
